Payments and membership activation
How to pay for CanCham Cambodia membership and events, and what happens after you apply.
Choose, apply and pay
Choose your membership option and complete the application online. The next page provides your payment request, bank transfer or KHQR instructions and a way to upload payment proof. Continue directly through these steps; CanCham will contact you if more information is needed.
Your payment request shows the amount and currency due. Review the membership option, billing details and total before paying. Any applicable tax or compulsory charge must be included in that total. Contact us if the request does not match your selection.
Payment methods and records
Payments are made by bank transfer or KHQR using the instructions on your payment page. Include your payment-request reference and upload the requested proof. CanCham manually checks the payment against your application or booking and the funds received; uploading a screenshot does not automatically confirm payment.
Keep your bank confirmation and CanCham document number. Your bank may apply its own currency conversion or charges; review these before confirming. CanCham does not add an undisclosed processing fee. Never send a banking password, PIN, one-time code or card details by email or as payment proof.
Review and activation
We aim to review your membership application within three business days after the complete application and required payment proof are submitted and the funds are received. This is a service target, not guaranteed approval. We will contact you if more information is needed. Business days exclude weekends and Cambodian public holidays.
Membership becomes active when CanCham approves the application and verifies payment. Your confirmation states the start and expiry dates. New membership lasts one year. Renewal is a separate choice and payment: we do not automatically renew or charge you. An approved renewal before expiry adds a year after the current term; a lapsed membership restarts on approval. Event registration is confirmed according to the event's booking and payment requirements.
Refunds and cancellations
Refund and cancellation arrangements for CanCham Cambodia membership and events organised by CanCham.
Membership refunds
If CanCham rejects your membership application, we will refund the full membership payment. You may also withdraw before activation for a full refund. Verified duplicate payments are refunded in full, and verified overpayments are refunded to the extent of the excess.
You may cancel within seven calendar days after activation for a full membership refund, including where you have used a membership benefit. After that period, a voluntary change of mind does not entitle you to a refund. You may ask to end your membership, but the unused term is not ordinarily refundable.
If CanCham cancels your membership service or cannot provide it for the remainder of the paid term, we will refund the unexpired portion from the date the service ends, without a cancellation or administration fee. Any broader refund, withdrawal or other remedy required by applicable law continues to apply.
Event cancellations and changes
For a CanCham-organised event, cancel at least seven calendar days before the scheduled start for a full ticket refund. With less than seven days' notice, you may nominate a substitute attendee without a substitution fee, subject to the event's eligibility and security requirements. The original ticket category and any disclosed member eligibility still apply. Late cancellations and no-shows are otherwise non-refundable, subject to applicable law.
If CanCham cancels an event or materially changes its date, location or advertised main purpose, you may choose a full ticket refund instead of attending. Credit or a replacement event is optional. For an event organised by a separate partner, that organiser's conditions must be identified before payment.
How to request and receive a refund
Email info@canchamcambodia.org with your name, payment or invoice reference, the membership or event concerned and the reason for your request. Include the date of your cancellation where relevant. We may request information reasonably needed to identify the payment and verify the originating bank account. We will never ask for your banking password, PIN, one-time code or card security details.
We review refund requests promptly, confirm the outcome in writing and initiate any refund due within seven calendar days of a valid refund, withdrawal or cancellation notice, CanCham's rejection of your application, or CanCham's cancellation of an event. For a material event change, this period starts when we receive your refund choice. We refund to the verified originating bank account wherever possible. If that is not possible, we will agree another verified account with you. We will not require you to accept credit instead of a refund.
Your bank controls when a refund appears in your account. Its posting time and exchange rate may differ from the original payment. We will provide a transfer reference where available and help trace a delayed refund. These rules do not limit any mandatory rights under applicable law.
Privacy notice
How CanCham Cambodia handles information supplied through its website, applications, events and member services.
Information and purposes
We collect information you provide when applying, registering for events, using an account or contacting us. This can include your name, contact details, organisation, role, delegates, membership selection, billing details, payment references and proof, bank details needed for a refund, event bookings and communications. Organisation applicants may supply a logo and public directory details. Please provide another person's details only where you are authorised to do so.
We use this information to assess applications, administer membership and renewals, register attendees, review payments, issue financial documents, operate accounts, answer requests, maintain approved directory profiles and send service messages. Optional marketing and newsletter choices are separate from messages needed to administer your membership or booking. You may unsubscribe from optional communications without cancelling membership.
Publication and sharing
Directory information is published only with the relevant consent and approval. Review the fields marked public before submitting. Payment proofs, private requests, passwords and account tokens are not directory content. You can request correction or removal of your public profile.
Access is limited to people who need information for Chamber work and service providers performing those tasks. Relevant information may be shared with event partners where needed for your booking, with banks to process a payment or refund, or where a legal obligation requires disclosure. We do not sell personal information. When using an external registration service, also read its privacy notice.
Cookies, browser storage and site analytics
Essential cookies support login, account security and your session. We also use first-party browser storage identifiers to distinguish visits and sessions and send page-view information to our site analytics endpoint. This includes the page path, selected navigation parameters such as page type or event ID, the referring page without its query string, browser language, time zone, screen and viewport size, and login status and membership tier. Website servers may also keep technical access and security logs. This helps us understand site use and improve pages.
You can control cookies and browser storage through your browser settings. Blocking essential cookies may prevent login or other account functions. Clearing stored identifiers resets the browser's analytics identifiers.
Security, retention and your choices
We use appropriate access controls and organisational safeguards and ask you to protect passwords and secure links. Do not upload unnecessary identity documents or card details. No website can guarantee absolute security; tell us promptly if you suspect account misuse.
We keep information for the purposes described here and applicable recordkeeping obligations, then delete it or remove identifying details when it is no longer needed. A correction or deletion request may not remove records we must retain for accounting, disputes or legal obligations. We will explain any applicable reason for retaining them.
Contact info@canchamcambodia.org to ask what information we hold about you, request correction or removal, update communication choices or raise a privacy concern. We may verify your identity before disclosing or changing records. Our public office is Connexion Building, Koh Pich, Phnom Penh, Cambodia.
Website and membership terms
Terms for the website and membership services of the Canadian Chamber of Commerce in Cambodia, known as CanCham Cambodia.
Using the website and applying
Provide accurate information and keep your contact, delegate and billing details current. Only act for an organisation or another person with authority. Do not misuse accounts, interfere with the website, submit unlawful material or use Chamber services for fraud.
Applications are reviewed by CanCham. Payment does not itself guarantee admission. The Payments and membership activation policy explains the review target, activation and one-year term. The Refunds and cancellations policy explains withdrawal, rejection, cancellation and refunds. These policies form part of these terms.
Membership and accounts
Your selected membership option determines delegate capacity and the benefits described when you apply. Membership does not guarantee business outcomes, referrals, publicity, event admission or preferential treatment beyond an expressly included benefit. Event tickets may be priced separately.
Keep account access personal to the authorised user and protect passwords and secure links. Tell us if a delegate leaves or access is compromised. We may restrict access to address misuse or a security risk and will explain the reason where reasonably possible. A restriction does not remove applicable refund or legal rights.
Renewal requires your action; there is no automatic renewal or recurring charge. An approved upgrade charges the annual tier difference and keeps the existing expiry date. Review its amount before confirming.
Content, changes and questions
You retain ownership of content you submit and authorise CanCham to use approved material to provide the requested listing or service. You must have permission to supply it. We may correct, decline or remove material that is inaccurate, unlawful or inconsistent with Chamber standards. A directory listing is not a guarantee or endorsement of another business.
We may update these terms for future applications, renewals and bookings. The terms accepted for an existing paid purchase continue to apply unless a change is required by law or agreed with you. Cambodian law governs these terms. Nothing in them excludes mandatory consumer rights or liability that cannot lawfully be excluded. Contact info@canchamcambodia.org about a service issue so we can investigate and seek a practical resolution.
